Should clients be able to book instantly, or should every booking require your review first? The answer depends on your business type, and getting it wrong costs you clients or creates scheduling chaos.

Use auto-approval when your services are standardized and your availability is clearly defined (e.g., salon appointments, fitness classes, standard consultations). Use manual approval when each booking requires judgment — for example, if you need to assess client suitability, if pricing varies per engagement, or if you need to coordinate with multiple team members before confirming.

This is one of the first decisions you'll make when setting up any booking system, and it has a bigger impact on your client experience than most people expect.

Auto-approval: instant confirmation

With auto-approval, the client selects a time, fills in their details, and immediately gets a confirmed booking. No waiting. No uncertainty. The slot is theirs.

When this works well:

  • Your services are standardized — a 30-minute consultation, a 1-hour massage, a group fitness class. The scope is clear and doesn't change from client to client.
  • Your availability is accurately reflected in your calendar — the slots shown are actually available, with appropriate buffers and capacity limits already configured.
  • You want to minimize the time between a client's decision to book and the confirmed appointment. Every hour of delay between "I want to book" and "Your booking is confirmed" increases the chance they change their mind or book elsewhere.

The risk: If your calendar isn't accurately maintained, auto-approval can create double-bookings or confirm appointments during times you're actually unavailable. The system trusts your calendar, so your calendar needs to be trustworthy.

Manual approval: bookings pending your review

With manual approval, the client requests a booking and receives a "pending" status. You review the request — checking the timing, the service type, any notes the client included — and then accept or decline. Only after your explicit approval does the client get a confirmed booking.

When this works well:

  • Each booking requires assessment — for example, a therapy practice where you need to determine if a new client is the right fit for your specialty before confirming.
  • Pricing varies per engagement — consulting engagements where the scope (and therefore the quote) depends on what the client needs.
  • You need to coordinate resources — a photography studio where specific equipment or staff assignments depend on the type of shoot being booked.

The risk: Slow response times. If a client submits a booking request at 8 PM and you don't review it until 10 AM the next day, that's 14 hours of uncertainty. During that time, the client might book with a competitor who confirmed instantly. Manual approval requires fast turnaround to avoid losing bookings.

The practical middle ground

Many businesses benefit from a hybrid approach: auto-approval for standard services, manual approval for specialized ones. A salon might auto-approve haircut and blowdry bookings but require manual approval for bridal packages (which need specific stylist assignment and longer time blocks). A clinic might auto-approve general checkups but require approval for specialized procedures.

The key question to ask for each service: "Is there a decision that needs to be made before this booking can be confirmed?" If yes, use manual approval. If no — if any available slot is equally valid — use auto-approval and let the system do the work.
